We are currently recruiting for a Project Coordinator to join our Systems, Software, and Solutions team in Calgary. In this challenging role, you will be responsible for a wide variety of project coordination functions for multiple streams of business. The ideal candidate will have excellent written and oral communication skills, a positive outgoing personality and strong relationship building skills. The successful candidate will report to the Manager, Operations (Systems, Software & Solutions).

Specific Skills
  • Post-secondary education with a minimum of 3 years related office/administrative experience
  • SAP experience considered an asset
  • Accounting, Project Management or Business knowledge preferred
  • Familiarity with quotes, purchase orders, bills of materials, invoices, etc.
  • Comprehensive knowledge of Microsoft Office Suite (Word, Excel, Outlook)
  • Fast, accurate keyboard skills
  • Extensive and exceptional customer service habits and practices
  • Strong organizational, multi-tasking and prioritization skills
  • Ability to work independently, as well as within in a fast-paced team environment
  • Self-motivated, dependable, and accountable
  • Strong attention to detail, with a focus on accuracy and quality
  • Exceptional communication skills, along with excellent interpersonal and organizational abilities
  • Entrepreneurial work ethic

Responsibilities
  • Effectively interfacing with customers and internal project stakeholders – project managers, sales, supply chain and procurement, project engineering, manufacturing, shipping/receiving, finance
  • Setting up projects in Spartan Business Systems
  • Reconciling customer purchase orders against project proposal documents
  • Ownership of the administrative aspects of projects – invoicing, bill of materials, shipping documents, customer communications
  • Vendor relations, including communications, and delivery scheduling & expediting as required
  • Assisting project managers with managing project costs, scheduling and date management, materials management, and the customer experience
  • Ability to work with multiple complex business systems & platforms
  • Responsible for project audit trail
  • Maintaining accurate, organized, and up-to-date project records
  • Continually assess and prioritize workload based on customer requirements
